Refund & Cancellation Policy

1. Overview and Applicability

This Refund & Cancellation Policy governs subscription billing, cancellation, and refunds for Zyntriq Dispatch. It supplements the billing terms in our Terms of Service.

2. Billing Cycles

Subscriptions are billed either monthly or annually, as selected at signup or on your order form. Billing occurs in advance of each cycle. Usage-based charges (e.g., dispatch job volume, technician seats) are billed at the end of the period in which they were incurred, or as otherwise specified in your plan.

3. Cancellation

  • You may cancel your subscription at any time from your account settings or by emailing legal@motuslabsllc.com.
  • Cancellation takes effect at the end of your current billing cycle. You will retain access to the Service through the end of the period you have already paid for; no partial-period access is forfeited by cancelling early.
  • Cancelling does not automatically delete your data; see our Privacy Policy for retention practices.

4. Refunds

  • General rule:Fees are generally non-refundable once a billing cycle has started, including for partial months of use, except as required by law or as set out below.
  • Annual plans:If you cancel an annual plan, we will, where legally required or at our discretion, refund the prorated unused portion of the annual fee, less any discount applied for choosing annual billing and less any usage-based charges already incurred.
  • Discretionary refunds:We may issue partial or full refunds at our discretion for service outages, billing errors, or extenuating circumstances, evaluated case by case.

5. Free Trials

Where a free trial is offered, it will convert automatically to a paid subscription at the end of the trial period unless canceled before the trial ends. We will make reasonable efforts to notify you before conversion. No refund is owed for a trial that converts to a paid plan if you did not cancel before the trial end date, though the discretionary-refund option in Section 4 remains available.

6. Upgrades and Downgrades

  • Upgradestake effect immediately, with a prorated charge for the remainder of the current billing cycle at the new plan’s rate.
  • Downgradestake effect at the start of the next billing cycle; no refund is issued for the difference in the current cycle.

7. Failed Payments and Account Suspension

If a payment fails, we will attempt to notify you and retry the charge. If payment is not resolved within a reasonable cure period (typically 7 days), we may suspend access to the Service. Continued non-payment beyond 30 days may result in termination under our Terms of Service and, where applicable, referral to collections.

8. Usage-Based and Overage Billing

Charges for usage beyond your plan’s included allotment (e.g., additional dispatch jobs or technician seats) are billed in the cycle in which the usage occurred and are not eligible for refund, as they reflect services already provided.

9. How to Request a Refund

Send refund requests to legal@motuslabsllc.com with your account details and the reason for the request. We aim to respond within 5 business days.

10. Changes to This Policy

We may update this policy prospectively; changes will not affect billing cycles already in progress at the time of the change.
